Frequently asked questions

01What does MatchPort cost?

If we don’t save you money, you don’t pay us.

  • Free 3-month trial
  • No subscription
  • No implementation fee
  • Unlimited users

We only charge a fee on documented hard savings. Labor savings and ESG reporting are included at no cost and aren’t part of the fee.

02What exactly counts as a “documented saving”?

A purchase you didn’t have to make. We count a saving only when a department with a documented request or pending requisition gets an item through an internal transfer instead of buying it new.

We value it at your own last purchase-order price for that exact item (looking back 24 months), adjusted for condition and minus any transfer cost. The record locks as soon as the transfer is complete. We don’t use list prices, estimates or projected savings.

If your finance team can’t trace a saving to a PO, a request and a timestamp, we don’t count it.

03What if it doesn’t work? What do we owe?

Nothing. If there are no savings, there’s no fee.

04Will our staff actually use it? Every platform dies at adoption.

We built MatchPort with that problem in mind. Publishing an item takes three taps (photo, confirm, publish), which is quicker than sending a “does anyone need this?” email.

Staff also get credit for what they do. 70% of each documented saving is credited to the person who published the item and 30% to the person who approved it. Those numbers show up on department leaderboards, and staff can export them in one tap for their annual review. Both departments’ dashboards show the full saving, so nobody has to argue over who gets it.

05How is this different from equipment-sharing services, resale vendors or inventory tools?

Sharing platforms like Cohealo lend equipment between facilities for a period of time. Resale vendors buy what leaves your building, usually for a fraction of what you paid. Inventory tools keep track of what you own.

MatchPort moves surplus permanently from one department to another, before anyone places a new purchase order. It covers equipment, supplies and furniture, documents the savings for finance and credits the staff involved. We work alongside resale: it’s where unclaimed items go next (see the next question).

06What happens to items nobody claims internally?

Every published item is offered inside your organization for 30 days first. If no department claims it, it moves to whichever option you’ve chosen (a resale partner, donation or disposal) with its full history attached. Either way, every item ends up somewhere, and you have a record of where.

07How do we verify the numbers, and what if we disagree with one?

Each month you get an itemized Documented Savings Statement. Every line links back to the original PO, the request it filled and the transfer record, all taken from your own procurement data.

Your team can check any line at any time. Either of us can flag a line within 30 days, and flagged lines stay out of the fee until they’re resolved, with the outcome logged. Records can’t be edited after the fact; any correction is added as a separate adjustment.

You’ll get our calculation method in writing before the trial starts.

08What does implementation actually require from us?

Not much:

  • Purchasing sends an export of your purchase-order history (a CSV or ERP report) so we can value items at your prices. No system integration is needed for the trial.
  • Supply chain spends an hour with us confirming the default labor-hour figures.
  • Departments download the app and get a 15-minute walkthrough.

We usually finish the audit in the first week and have the first departments using the app in the second. You don’t need new hardware, an EHR integration or consultants.

09How do you keep unsafe or non-compliant items out of circulation?

Expired, recalled and broken items can’t be published. Reusable equipment includes notes on its condition, and where your policy requires it, transfers go through your existing biomed/HTM inspection process.

MatchPort’s founder spent 30 years in healthcare technology management at Kaiser, Cedars-Sinai, UCLA Health and John Muir Health, so hospital compliance shaped the product from the start. Every step of every transfer is logged for audits and regulatory review.

10What sustainability reporting do we get, and is it real or marketing?

It’s real, and we keep the numbers conservative. Each completed transfer updates running totals for pounds kept out of landfill, CO₂e avoided and donation value. They’re reported in Practice Greenhealth units (short tons and MTCO₂e), so they fit into reporting you may already do. If facilities gives us your total waste figure, we can also show the contribution to your LEED diversion rate.

You can adjust the emission factors, and we show exactly which ones we use. Every figure is labeled as an estimate.

Savings your CFO trusts, ESG your board can publish, credit your staff can take to their review. One workflow produces all three.
